Who we are and scope

Matar Systems LLC ("Matar Systems," "we," "us," or "our") builds and operates digital products, founder dashboards, workflow systems, and the trAide platform. This Privacy Policy explains how we handle personal information when you visit our websites, submit an inquiry, create or use an account, purchase or receive services, use a Matar Systems product, or communicate with us. This Policy does not apply to information processed solely on behalf of an enterprise customer under that customer’s instructions. In that context, the customer is responsible for its privacy notice and Matar Systems acts as a service provider or processor under the applicable agreement.

Information we collect

Information you provide. This may include your name, work email, company or community name, role, project requirements, expected users, budget range, launch timing, account details, billing contact information, support requests, and other information you choose to send us. Product and workspace information. When you use a Matar Systems product, we may process organization membership, permissions, brand settings, watchlists, delivery preferences, API configuration, usage records, audit events, and content submitted to the service. Technical and usage information. Our hosting and security systems may collect IP address, browser and device information, timestamps, requested pages, referring URLs, diagnostic events, authentication events, and security logs. Information from service providers or business sources. We may receive payment status, authentication details, scheduling information, CRM records, or business contact information from providers you use to interact with us.

How we use information

We use personal information to: • respond to inquiries and prepare relevant demonstrations or proposals; • create, authenticate, administer, and support accounts and organizations; • provide, configure, maintain, and improve our products and services; • process payments and maintain business and tax records; • deliver product notices, support messages, and service communications; • protect users, investigate misuse, prevent fraud, and secure our systems; • monitor availability, diagnose errors, and understand product usage; • comply with law, enforce agreements, and establish or defend legal claims; and • send marketing communications where permitted, with an option to unsubscribe.

When we disclose information

We may disclose personal information to vendors that help us provide hosting, databases, authentication, communications, scheduling, billing, analytics, security, support, and professional services. These providers may use the information only for the services they perform for us and under applicable contractual restrictions. We may also disclose information to an organization that administers your account; to professional advisers; to authorities where legally required; to protect rights, safety, and system integrity; or as part of a merger, financing, acquisition, reorganization, or sale of business assets. Matar Systems does not sell personal information for money. We do not share personal information for cross context behavioral advertising. If those practices change, we will update this Policy and provide required choices before the change takes effect.

Cookies and similar technology

We may use essential cookies or local storage for authentication, security, preferences, and core product operation. Hosting providers may also create server logs needed to deliver and protect the service. If we introduce nonessential analytics, advertising technology, or other tracking that requires consent, we will provide an appropriate notice and choice. You can also control cookies through your browser, although disabling essential storage may prevent parts of the service from working.

Retention

We keep personal information only for as long as it is reasonably needed for the purposes described in this Policy. Retention depends on the type of information, the relationship, account status, security needs, and legal or accounting requirements. For example, inquiry records may be retained while a business relationship is being considered; account and service records may be retained for the life of the account and a reasonable period afterward; security and audit records may be retained to investigate incidents and preserve system integrity; and transaction records may be retained for applicable tax and accounting periods. When information is no longer needed, we delete it, anonymize it, or isolate it from routine use where deletion is not immediately practical.

Security

We use administrative, technical, and organizational measures designed for the nature of the service, including access controls, role-based permissions, tenant separation, encrypted transport, secret management, audit logging, monitoring, backups, and controlled production changes. No method of storage or transmission is completely secure. Please use a strong unique password, protect API credentials, keep account information current, and contact us promptly if you suspect unauthorized access.

International data transfers

Matar Systems and its service providers may process information in the United States and other countries where they operate. Those countries may have data protection laws different from the laws where you live. Where required, we use recognized safeguards for international transfers, such as approved contractual clauses or another lawful transfer mechanism. Enterprise customers may request relevant data processing terms.

Your privacy rights

Depending on where you live, you may have the right to request access to personal information, correction, deletion, portability, restriction, or objection to certain processing. You may also withdraw consent, opt out of marketing, or appeal a decision regarding a privacy request where applicable. To make a request, email hello@matarsystems.com with the subject “Privacy Request.” We may verify your identity and authority before completing the request. Authorized agents may submit requests where permitted by law. We will not discriminate against you for exercising a privacy right. Residents of the EEA or UK may also complain to their local data protection authority. California residents may have rights to know, correct, delete, and opt out of sale or sharing, subject to the scope and exceptions of applicable law.

Children

Our websites and services are intended for adults and business users. They are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact us so we can review and delete it where appropriate.

Changes to this Policy

We may update this Policy as our products, data practices, or legal obligations change. We will post the revised version here and update the effective date. If a change materially affects how we use personal information, we will provide additional notice where required.
